AI in business processes: where to start to create value

Artificial intelligence has become a topic of discussion in virtually every company. People are talking about generative AI, automation, intelligent agents, and new tools capable of supporting people in a wide range of activities.

But for a company that wants to move from words to action, the most important question is another one: which business process should you start with?

Because introducing AI does not necessarily mean creating value: value is born when technology is applied to a concrete need, within a process where it can improve the way people work and produce a measurable result.

Artificial intelligence in business processes: where to start?

Artificial intelligence in business processes is now an increasingly widespread reality. Generative AI, intelligent automation, and AI agents are transforming the way companies manage tasks, information, and decisions. But introducing a technology does not automatically mean generating value: to achieve concrete results, it is necessary to understand where and how to apply AI to business processes.

The starting point is therefore to identify a process where AI for companies can meet a real need, simplifying tasks and improving people's work. Processes characterized by repetitive tasks, large amounts of data, unstructured documents, numerous manual interventions, or long management times can be good candidates for an artificial intelligence adoptionproject. The goal is not to look for an "AI-ready" process, but to identify a concrete problem that AI can help solve.

AI applied to business processes: how to define a use case

After identifying the most suitable process, the next step is to transform the opportunity into an artificial intelligence use case. It is necessary to understand what problem to address, how it is currently managed, which people and systems are involved, and in which activities AI can intervene to automate, support, or improve the work.

AI applications in business processes can involve very different functions. In sales, artificial intelligence can interpret unstructured requests and transform them into usable information. In procurement, it can support the collection and organization of supplier data. In the warehouse, it can analyze delivery notes and orders, extract relevant information, and facilitate reconciliation activities. In all these cases, value is born from the integration of AI within a real process.

For this reason, an AI project for companies cannot focus solely on technology. Processes, data, systems, and people must be considered together, so as to build a solution that is truly usable and integrated into daily activities.

How to measure the value of AI and scale it

For artificial intelligence applied to business processes to generate value, it is important to define measurable objectives and indicators from the very beginning. Reduction in processing times, decrease in manual tasks and errors, greater quantity of processed information, and improved productivity are some of the elements that allow for a concrete evaluation of the impact of an AI project.

The most effective approach to AI adoption is progressive: start with a concrete problem, develop and test a use case, measure the results, and, when the value is proven, integrate it into company systems and apply the same approach to other processes. In this way, it is possible to move from experimentation to a true AI strategy for the business, avoiding the introduction of tools without a concrete need.

The question, therefore, should not simply be how can we use AI? but In which business processes can artificial intelligence concretely improve the way we work?. This is where a journey toward AI adoption that is truly value-driven can begin.

Discover AI use cases in business processes

On October 22, 2026, BlueIT is hosting "Beyond the Use Case – AI that Generates Impact in Business Processes," an event dedicated to the practical application of artificial intelligence.

During the event, three use cases related to sales, procurement, and warehousing will be presented, with the goal of showing how AI can be integrated into real-world processes and transform daily tasks into opportunities for efficiency and value.
